Inspection and copying of company records

Shareholders and others have the right to inspect and obtain copies of many of the registers and records kept by a company. Our note summarises what records a company needs to keep and where, as well as who can have access to them.

Personal information

Some personal information kept by the company cannot be disclosed. Directors’ and PSCs’ residential addresses are kept on a separate register that cannot be disclosed to shareholders or the general public. Directors’ full dates of birth must not be disclosed either - just the month and year.

Make sure that your registers and other documents do not inadvertently disclose other personal information, such as a shareholder’s e-mail address, for example. Any information that is not required to be kept on a register should be stored separately.
